HVAC and mechanical contractors under CSBFP

An HVAC contractor’s capital is concentrated in service vehicles outfitted as mobile shops, refrigerant handling equipment, brazing and vacuum tools, and a small shop / warehouse footprint. Sheet metal fabrication, if done in-house, adds a significant equipment line. The business is service-call and install dominant; office and customer-facing build is minimal.

A 3 to 4 technician residential HVAC contractor typically has $280,000 to $520,000 in CSBFP-eligible capital (heavily weighted toward outfitted service vans). A 6 to 10 technician commercial mechanical contractor with in-house fabrication can run $550,000 to $920,000, fitting within the $1M non-real-property cap with careful structuring.

Eligible CSBFP costs for HVAC contractors

Service vehicles (equipment, the largest line)

  • Service van (1-ton, walk-in body or cargo): Ford Transit, RAM ProMaster, Mercedes Sprinter outfitted as a mobile shop, $72,000 to $115,000 for the vehicle. The mobile-shop fit-out adds $18,000 to $35,000 for shelving, drawers, ladder rack, partition, work surface, and inverter.
  • Pickup truck (3/4-ton or 1-ton) with utility body: For service techs doing larger residential or commercial install work, $78,000 to $125,000 with utility-body fit-out.
  • Bobtail or stake-body delivery truck:For equipment delivery to job sites, $85,000 to $165,000 depending on configuration.
  • Tow trailer for compact equipment / coil cleaning: $8,500 to $22,000.

Refrigerant and brazing equipment (equipment)

  • Refrigerant recovery and recharge machines: Multi-refrigerant recovery machine (Yellow Jacket, Robinair, CPS Products) plus recovery cylinders, $4,500 to $11,000 per machine, with most contractors running 3 to 5 machines across the fleet.
  • Vacuum pumps: Two-stage rotary-vane pumps for evacuation and leak testing, $800 to $2,200 per pump, 4 to 8 across the fleet.
  • Brazing torches and oxy-acetylene kits:Portable torches per technician, $1,500 to $3,500 per kit, plus per-truck stocking of rod and flux.

  • Combustion analyzers: Required for gas furnace commissioning, $1,500 to $4,500 per analyzer.
  • Leak detection and refrigerant identifier: Electronic leak detectors plus refrigerant identifier instruments, $1,800 to $5,500.
  • Manometers, anemometers, thermometers: Standard mechanical and HVAC measurement instruments per technician, $1,200 to $3,500 per kit.
  • Ductblaster and blower door (energy-audit equipped): For contractors offering energy audits, $5,500 to $14,000.

Sheet metal fabrication (for in-house fabrication shops)

Shop and warehouse equipment (equipment)

  • Shop air compressor (10 to 25 HP):Rotary screw compressor with tank and lines, $11,000 to $28,000 installed.
  • Shop ladders and lifting equipment:Extension ladders, A-frame ladders, hoists, lifting straps, $4,500 to $11,000.

  • Office build: Dispatch desk, service advisor stations, customer waiting area (minimal: field-service business), management offices, $24,000 to $58,000.
  • Vehicle parking and bay: Hard-surface fleet parking, optional indoor van parking bay (heated) for cold-weather starts, $18,000 to $55,000.
  • Storefront and signage: Exterior signage, fleet livery (if vehicles get branded wraps as part of build), customer entrance, $14,000 to $35,000.

Software and dispatch (intangibles)

  • Field service management software: ServiceTitan, FieldEdge, Housecall Pro, $7,500 to $22,000 in setup. Eligible under the $150K intangibles sub-limit.

Revenue model: service-call plus install

HVAC contractor DSCR turns on three revenue components: service-call volume and average ticket, install project revenue and gross margin, and recurring maintenance plan revenue. Lenders look at the split because each component has a different margin and risk profile.

  • Service-call revenue: Average service ticket $185 to $580 (diagnostic fee plus typical repair). A 3-tech shop runs 8 to 14 calls/day combined, $2,500 to $5,500/day in service revenue at steady state.
  • Install project revenue: Residential furnace replacement $5,500 to $14,500; complete furnace + AC system $12,000 to $28,000; ductless mini-split $4,500 to $14,500 per zone; commercial RTU $15,000 to $95,000 per unit installed.
  • Gross margin by service line: Service calls 65 to 75% (labour-heavy, high margin); installs 28 to 38% (equipment cost dominates); maintenance plans 55 to 72%.
  • Maintenance plan recurring revenue:Annual maintenance plans at $185 to $345/year per customer. A 600-customer plan book = $110,000 to $210,000 in recurring revenue. Lenders particularly value this line because it’s contracted and predictable.

Total gross: approximately $2,301,000. Blended gross margin 42% = $966,000 gross profit. After labour (4 technicians + 1 dispatcher + owner), rent, utilities, insurance (high for HVAC), vehicle fuel and maintenance, software, supplies: EBITDA approximately $315,000. Annual debt service (CSBFP loan at 7.95%, 10-year amortization): approximately $111,800. DSCR: 2.8x ✓.

What lenders look for in an HVAC file

  • Trade certification. Provincial Red Seal Refrigeration and Air Conditioning Mechanic ticket plus gas technician (G2 or G1 in Ontario; provincial equivalent elsewhere) for the owner. Plus EPA Section 608 (or Canadian equivalent) certification for refrigerant handling.
  • Existing service area and lead source. HVAC contractors live or die on lead generation. Files with a documented lead source (existing customer book for buyouts, established trade-ally relationship with utility programs, partnership with home builders or property managers) defend better than greenfield plans.
  • Maintenance plan ramp. Recurring maintenance revenue is what separates resilient HVAC contractors from feast-or-famine operators. Files with an explicit plan-conversion strategy and ramp targets are stronger.
  • Insurance coverage. Liability and property insurance for HVAC contractors is notably expensive (per-tech surcharges, equipment in customer homes coverage). Lenders want the insurance pathway budgeted, not assumed.
